1. Acceptance of Terms

By downloading, installing, accessing, or using the Edutools Net mobile application ("the App"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the App.

These Terms apply to all users, including educators, school staff, and any other individuals who access or use the App.

2. Description of Service

Edutools Net is a teacher productivity application designed to help educators manage their professional workflow. The App provides tools including, but not limited to:

  • Class and student management
  • Attendance tracking
  • Behaviour and conduct logging
  • Grade recording and assessment tracking
  • SEN (Special Educational Needs) notes
  • Safeguarding records and incident tracking
  • Lesson planning and educational content tools
  • Timetable and calendar management
  • Voice recording and AI-powered transcription
  • AI-assisted report generation and text drafting
  • Classroom observation tools
  • Analytics and reporting
  • Google Drive backup and sync
  • Data export and import capabilities

The App is intended for use by educators, school administrators, and authorised adults only — not by children or students directly.

3. Account Registration and Authentication

To access certain features of the App, you may need to create an account using one of the following methods:

  • Passwordless email sign-in (Magic Link): A one-time sign-in link is sent to your email address.
  • Google Sign-In (OAuth 2.0): Authentication through your Google account via Supabase.
  • Guest Mode: Limited access without an account. Guest sessions are temporary and do not support cloud backup or account-linked features.

You are responsible for maintaining the security of your account credentials, authentication tokens, and any devices used to access the App. You agree to provide accurate and current information during registration and to notify us immediately of any unauthorised use of your account.

4. Subscription and In-App Purchases

The App offers optional premium features through in-app subscriptions. By purchasing a subscription, you agree to the following:

  • Subscriptions are managed through the Apple App Store or Google Play Store and are subject to their respective terms and policies.
  • Payment processing is handled entirely by Apple or Google. We do not directly process or store payment information.
  • Subscription management (including cancellation, renewal, and refunds) is governed by the policies of the platform through which you subscribed.
  • RevenueCat is used to manage subscription entitlements. Anonymised purchase and subscription status data may be processed by RevenueCat.
  • Free trial periods, if offered, automatically convert to paid subscriptions unless cancelled before the trial ends.
  • You may cancel your subscription at any time through your Apple App Store or Google Play Store account settings. Cancellation takes effect at the end of the current billing period.
  • Refund requests must be directed to Apple or Google, as applicable, in accordance with their refund policies.

5. Acceptable Use

You agree to use the App only for lawful purposes and in accordance with these Terms. You agree not to:

  • Use the App for any purpose that is illegal or prohibited by these Terms.
  • Enter or process information you are not authorised to handle under your school's or institution's data protection policies.
  • Attempt to gain unauthorised access to any part of the App, its systems, or its infrastructure.
  • Reverse engineer, decompile, disassemble, or attempt to derive the source code of the App.
  • Reproduce, distribute, modify, create derivative works of, publicly display, or publicly perform any part of the App without prior written consent.
  • Use the App in any way that could damage, disable, overburden, or impair the service.
  • Upload or transmit viruses, malware, or any other harmful code through the App.
  • Use the App to harass, abuse, or harm any individual.
  • Share your account credentials with others or allow others to access the App through your account.

6. User Content and Data

6.1 Ownership

You retain ownership of all data, records, and content you enter into the App ("User Content"). We do not claim ownership of your User Content.

6.2 Responsibility

You are solely responsible for the accuracy, legality, and appropriateness of all User Content. This includes any student data, safeguarding records, SEN notes, or other sensitive information you choose to enter.

6.3 Data Storage

User Content is stored locally on your device. If you enable Google Drive backup, your data is also stored in a restricted, app-specific folder on your personal Google Drive (appDataFolder). We do not have access to your Google Drive or your backup data — the App acts solely as a bridge between your device and your own Google Drive.

6.4 Data Loss

While we take reasonable measures to ensure the App functions reliably, we are not responsible for data loss resulting from device failure, App uninstallation, accidental deletion, or any other cause. We strongly recommend enabling Google Drive backup or regularly exporting your data.

7. AI Features

The App includes AI-powered features provided through OpenAI's API, including voice transcription, report generation, and text drafting.

  • AI data is processed but never stored by OpenAI. All API requests are configured with data storage disabled. OpenAI processes your data solely to deliver the requested result and does not use it to train its models.
  • AI-generated content is provided as a drafting and formatting aid only. It does not constitute professional advice.
  • You are solely responsible for reviewing, verifying, and approving all AI-generated content before using it in any school, safeguarding, reporting, student-record, or any other professional context.
  • We do not guarantee the accuracy, completeness, or appropriateness of AI-generated outputs.
  • AI features require an active internet connection and a valid subscription (where applicable).

8. Google Drive Backup and Sync

The optional Google Drive backup feature operates under the following terms:

  • The App accesses only the Google Drive appDataFolder restricted scope — a private, app-specific folder that only this App can read and write to.
  • We do not access, view, or retrieve any of your Google Drive files, folders, documents, photos, or backup data. We act solely as a bridge between your device and your Google Drive.
  • You can disconnect Google Drive at any time from the App's Data Backup settings. Disconnecting removes stored tokens and stops syncing but does not delete backup data already on your Google Drive.
  • You are responsible for managing your Google Drive storage and any backup data stored there.
  • The availability and reliability of Google Drive services is governed by Google's own terms of service.

9. Intellectual Property

The App, including its design, code, features, branding, logos, graphics, and documentation, is owned by Edutools Net and is protected by intellectual property laws. All rights not expressly granted in these Terms are reserved.

You are granted a limited, non-exclusive, non-transferable, revocable licence to use the App for personal and professional educational purposes in accordance with these Terms.

10. Third-Party Services

The App integrates with the following third-party services:

  • OpenAI — AI-powered voice transcription and text generation
  • Google (Google Drive API) — Cloud backup and sync
  • Supabase — User authentication and session management
  • RevenueCat — Subscription and in-app purchase management
  • Apple App Store / Google Play Store — App distribution and payment processing

Your use of these third-party services is subject to their respective terms of service and privacy policies. We are not responsible for the availability, performance, or policies of third-party services.

11. Disclaimer of Warranties

THE APP IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR ACCURACY.

We do not warrant that the App will be uninterrupted, error-free, secure, or free of viruses or other harmful components. We do not warrant the accuracy or reliability of any AI-generated content, reports, or transcriptions produced through the App.

12. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, EDUTOOLS NET, ITS FOUNDERS, DEVELOPERS, AND AFFILIATES SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO:

  • Loss of data, records, or User Content
  • Loss of profits, revenue, or business opportunities
  • Errors, inaccuracies, or omissions in AI-generated content
  • Unauthorised access to or alteration of your data
  • Service interruptions or unavailability
  • Any actions taken based on AI-generated reports, transcriptions, or recommendations

IN NO EVENT SHALL OUR TOTAL LIABILITY EXCEED THE AMOUNT YOU HAVE PAID FOR THE APP OR SUBSCRIPTION IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.

13. Indemnification

You agree to indemnify, defend, and hold harmless Edutools Net, its founders, developers, and affiliates from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising from: Your use of the App; Your User Content; Your violation of these Terms; Your violation of any applicable law or regulation; Your use of AI-generated content in professional, educational, or safeguarding contexts.

14. Children and Student Data

The App is not directed at or intended for use by children under the age of 13 (or the applicable age of digital consent in your jurisdiction). The App is designed for use by educators and authorised adults only.

If you use the App to manage student information, you are responsible for ensuring your use complies with:

  • Your school or institution's data protection and safeguarding policies
  • Applicable privacy laws in your jurisdiction (e.g., GDPR, FERPA, COPPA, UK Data Protection Act 2018)
  • Any data processing agreements required by your employer or institution

We are not responsible for ensuring your compliance with these obligations.

15. Termination

We reserve the right to suspend or terminate your access to the App at any time, with or without cause, and with or without notice. Upon termination, your licence to use the App is immediately revoked. No refunds will be issued for prepaid subscription periods, except as required by applicable law.

16. Changes to These Terms

We may update these Terms from time to time to reflect changes in the App's features, legal requirements, or business practices. The "Last updated" date at the top of this page indicates when these Terms were last revised.

17. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which Edutools Net operates. Any disputes arising from or relating to these Terms or the App shall be resolved in the competent courts of that jurisdiction.

18. Severability

If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect.

19. Entire Agreement

These Terms, together with our Privacy Policy (available at https://edu-tools.net and within the App), constitute the entire agreement between you and Edutools Net regarding your use of the App.
